Collecting cash from members

Open a collection, write a receipt for each member, then close it.

Use a collection whenever you take cash from members — at a meeting, or on any day.

Before you start

  • You need the collect cash permission.
  • Cash must be enabled under Enabled Channels in Payment settings.
  • The member must be on the system. Their charges, savings account, welfare funds and loans are what you can take cash against.

Open a collection

Go to FinanceCash Collections, then select Open a collection.
Name it, for example October general meeting. Pick the meeting if it was one (optional), then select Open collection.

Write a receipt

In the collection, select Collect cash.
Choose the Member. Everything they could pay appears: what they owe, loan repayments, savings, welfare funds, and a donation.
Type the amount they hand over against each item. Fill puts in the full balance or the usual amount for you.
Check the Total received against the cash in your hand, then select Record receipt.

The member is credited at once and gets a notification (and an email if they have one). One receipt can cover several items.

If it says “Not saved”

The receipt didn't reach the server. Select Not saved — Retry. Retrying is safe: it never credits the member twice. If it says part of this receipt was saved, open the collection and check which payments are listed before taking more.

Void a mistake

While the collection is still open, another officer with the verify permission can open the receipt and select Void, giving a reason. The member's balance goes back as it was and they are told why. You can't void a receipt you took yourself, and a loan repayment can't be voided here.

Close the collection

When you have finished taking cash, select Close collection. This fixes the receipts so the total can be lodged. You can't add or void receipts afterwards.

What happens next

Lodge the cash into the bank.
