Verifying cash lodgments

Check a lodgment against the bank statement, then verify or reject it.

OfficersWebMobile

A second pair of eyes is what makes cash trustworthy. A lodgment is checked by an officer other than the one who lodged it.

Before you start

You need the verify cash lodgments permission. You can't verify a lodgment you made yourself.

Check a lodgment

Go to FinanceCash CollectionsLodgments. Waiting lists lodgments to check.
Open one. Compare the amount, date and bank with the deposit slip and your bank statement.
Select Verify lodgment if it is on the statement, or Reject and give a reason if it isn't.

Both decisions are final, and only one officer's decision counts if two try at once.

What happens next

  • Verified — the cash moves from Cash in hand to your bank account in the accounting records (if you use Accounting), and the officer is told.
  • Rejected — the cash returns to the officer's hand with your reason, and they lodge it again.

Lodged short

A lodgment marked Lodged short shows how much is missing and the reason given. Verifying it confirms the money that was paid in; the shortfall stays visible as cash not yet accounted for, so follow it up with the officer.
