Lodging cash into the bank

Record the cash you paid into the bank, with a photo of the deposit slip.

OfficersWebMobile

After you close a collection, pay the cash into your association's bank account and record it here.

Before you start

  • You need the lodge cash permission.
  • Close the collection first. Cash on an open collection can't be lodged.
  • Your association needs at least one bank account.
  • Keep the deposit slip and take a clear photo of it.

Record a lodgment

Go to FinanceCash CollectionsLodge cash.
Tick the collections you are lodging. The amount you should lodge is shown.
Choose the account you paid into, the amount, the date, and the bank reference if the slip has one.
Attach the deposit slip photo, then select Record lodgment.

If you are lodging less

If the amount is below what you collected, you must say why — for example, money spent on refreshments with a receipt. The lodgment is flagged Lodged short so the treasurer can follow it up. You can't lodge more than you hold.

What happens next

The cash leaves your hand and shows as Lodged, awaiting check. Officers who can verify are notified, and another officer checks it against the bank statement. If it is rejected, the cash returns to you, with the reason, to lodge again.

If you haven't lodged within your association's deadline (3 days by default), you and the officers who watch cash are reminded.
