Approving member withdrawals (two stages)

Review a withdrawal request, then have a different officer approve and record the payout.

Members ask to withdraw; two different officers decide. The member, the reviewer and the approver are always three different people, and the balance moves only at final approval.

Before you start

Each stage has its own permission, which your association assigns to whichever roles it chooses:

  • Review (cooperatives.withdrawals.review): by default the Treasurer and the Financial Secretary.
  • Approve (cooperatives.withdrawals.approve): by default the Administrator.

A role you created yourself has neither permission until you add it in Settings → Roles.

Stage one: review

Open CooperativesWithdrawals (on the phone: Manage → Cooperatives → Withdrawals) and the To review tab.
Check the request: the amount, the account, and the member's reason.
Select Pass on for approval, or Reject and give a reason the member will read.

Stage two: approve and pay

Open the To approve tab. You'll only see Approve and pay if you hold the approve permission and you didn't review this request.
Select Approve and pay, say how it was paid out (bank transfer, cash, cheque or other), and add a reference.
Confirm. The balance, any savings held for a loan, and the monthly limit are checked once more, then the withdrawal is recorded and the member is told.

The system records the payout, it doesn't send money

You pay the member out of the cooperative's bank account yourself; approving records it in the member's savings and the books.

If your cooperative has only one or two officers

An administrator can switch off two-stage approval in Cooperative setup. Then one officer decides each request. A request already waiting keeps the rule it was made under.
